Konica Minolta announces the integration of the Generative AI function Aino into its M-Files solution

Konica Minolta Business Solutions Europe announces the availability of Aino, a Generative AI assistant integrated into its Intelligent Information Management (IIM) solution M-Files, which helps employees use content stored in M-Files more efficiently and effectively. With Aino, employees can summarise a document, ask questions about a document and save the summary and answers as metadata. M-Files Aino uses Large Language Models (LLM), which enables natural language interactions. Aino is available in over 35 languages.


Finding information within documents, whether by searching for keywords, visually browsing or reading the entire document, can be time-consuming and error-prone. When a document is very large, keyword searching is often the only practical option. However, users often do not know the exact search terms to find what they are looking for. The new Generative AI function M-Files Aino creates concise, intelligent summaries of documents. These can be transcripts of online meetings, studies, presentations and many more. The AI-based summaries provide a quick overview of the core content of a document. Users can then ask questions about the document to gain an even deeper understanding of the content. The questions are answered in the language in which they were asked. The summaries and question-answer interactions created in this way are stored as enriched metadata, which in turn further improves the searchability of documents and the retrieval of knowledge from content stored in M-Files.

Thanks to the availability of over 35 languages, Aino also facilitates global collaboration. M-Files Aino can be used with all text documents. This includes Microsoft Word, Microsoft Excel, Microsoft PowerPoint and PDF documents. A scanned document must be converted into a searchable PDF document with optical character recognition (OCR) before M-Files Aino can process it. A document can have up to approx. 100 pages. M-Files Aino can process around 2,000 pages of text per user within 24 hours. The exact number of pages depends on various factors, e.g. the language, the complexity of the text and the formatting details. M-Files Aino issues a warning message as soon as users have used up 90% of their quota.
 
Data encryption and no disclosure of customer data
Aino is located in the M-Files Cloud and can be used with both M-Files Cloud vaults and on-premises M-Files vaults. As it is a cloud service, a connection to the M-Files Cloud is required for use – customers choose their geographic region. Data never leaves the M-Files Cloud and data sent to the cloud service is only used for the stated purpose and is immediately and permanently deleted from the M-Files Aino’s memory once document processing is complete.

Each request to M-Files Aino is encrypted, authenticated with an API key (vault-specific) and uniquely identified for each connecting M-Files vault. M-Files Aino maintains a virtual separation of all customer data. No documents, metadata or conversations with Aino are shared with other services. Customer data is never used for training AI for the benefit of other customers. M-Files may only utilise a customer's vault contents and discussions with M-Files Aino to improve Aino’s performance within the customer’s organisation and for their business needs.

M-Files Aino ensures that Microsoft 365 Copilot users can also work with information stored in M-Files. When users interact with Copilot, all content in M-Files is automatically taken into account by the AI. The quality and relevance of the content created by Copilot is improved by the additional context of information contained in M-Files documents.

M-Files Aino is automatically included in the M-Files Business Edition subscription, also for existing customers who are already using the software. Customers with a different edition can use Aino by upgrading to the Business Edition.
