Building your digital collaboration environment

Working together without boundaries – collaborate independently of location, time and devices

Accessing files remotely to work together on one document simultaneously wherever you are and whenever you need to is becoming a necessity in times of mobile workforces. Konica Minolta’s solutions enable your employees to work closely together with their colleagues at the office desk or on the move to give them the freedom they need to raise productivity to the next level. The only way to maintain competitive advantage and foster collaboration is to make the most effective use possible of new technologies from the moment they hit your sector. Your company needs to react flexibly to technological change, tailor it to your employee’s needs and embrace the many options it can offer.

As organisations expand, working with decentralised departments across borders becomes the new standard. Giving your employees the necessary space and flexibility to perform optimally in this environment is key. This requires changes in your IT infrastructure, as digital processes and data need to be available easily for every part of the team. Otherwise, performance may decrease when, for example, problems with access to shared drives occur or different versions of documents are used.

Our solutions enable individual flexibility and mobility in order to bring employees closer together. We ensure that your work processes and documents are accessible remotely – independent of location, time and device. With our cloud-based collaboration tools, no borders for your digital work remain – no matter if it is the whole team working seamlessly live on the same document, accessing data from any place or communicating and networking within your organisation.

Together with Microsoft, we provide a product range of collaboration tools including public cloud-based solutions like Invoice365 and Workplace Go based on Microsoft Office 365 (enhancing user experience with Yammer, Teams, Sharepoint, Power BI, Flow etc.) and the private cloud filesharing solution dokoni SYNC & SHARE. The variety of services and products offered enables us to find the best-fitting solution based on your organisation’s and employees’ specific needs to optimise collaboration working routines.

Elajo invest ab // electricity, mechanical engineering and energy unburdening it with managed services and infrastructure solutions

Elajo is one of Sweden’s leading electricity, mechanical engineering and energy com¬panies, offering broad expertise and a knowledgeable staff of close to 900 employees. Since it was founded in 1958, the family business has experienced strong growth over many years and combines the proximity as well as the flexibility of a small company with the resources of a large one. In the vast majority of cases, the company is geographically very close to its customers as it has offices in 38 cities in Sweden. With its products and services, Elajo and its employees generate a yearly turnover of approximately SEK 900 million. The decision in favour of the long-term partner Konica Minolta for the update of their software and hardware as well as for the assignment of managed network services was just natural. The solutions ensure the new system provides the highest level of security while enabling very efficient and simplified workflows.

Unburdening internal IT departments through tailored services

For Elajo’s business, it is exceptionally important to be able to focus on the needs of their customers. In today’s economy, underlying IT systems take on a decisive role in order to allow this. As more and more systems become connected and internal as well as external business processes grow increasingly digital, companies need to be able to leverage the full potential of these technologies to stay competitive in their market and serve their customers with the highest levels of quality. A strong partner who knows its business and is able to take care of IT and the digitalisation of a company’s processes is especially crucial with a diverse and geographically spread company structure with 38 offices. “Managing our IT is at the core of our business and we want to limit the internal resources we invest here to a minimum. Hence, in order to be able to focus our resources and efforts on supporting our employees, our IT department turned to Konica Minolta, our long-established, proven partner,” Elajo’s CFO Olle Westerling explains. Through the close dialogue between the two companies before the start of the project, Konica Minolta gained an in-depth understanding of Elajo’s needs and was hence able to tailor the service to exactly the desired outcome, freeing up internal resources. “In many ways, it feels like Konica Minolta’s experts have become a part of our IT team,” Westerling added.

A single point of contact for managed network services

In order to provide Elajo not only with a set of IT products but also with the solution it truly needs, Konica Minolta delivers a complete array of managed services. Konica Minolta’s experts proactively manage the company’s entire network: this covers hardware and IT management, including PCs, servers and the whole printing infrastructure, as well as software components such as security firewalls and conventional day-to-day office software. The services include real-time monitoring and patching of the network and infrastructure as well as the continuous deployment of new software and hardware, ensuring the maximum level of security to protect each office location. For Elajo, this procedure has the enormous advantage that the company has one single point of contact for all topics concerning their network, as Konica Minolta is responsible for all issues concerning the IT network. With Konica Minolta harmonising the company’s IT set-up, new locations can now be easily integrated into the existing systems. The new locations receive an easy-to-implement rollout package of simple steps so they can be up and running in a fraction of the time a new set-up used to take.

At the construction site or in the office: making work seamless

As an organisation, Elajo is on its path to taking advantage of the potential of digitalised work processes. Konica Minolta harmonised the company’s office software with the implementation of Microsoft Office 365 across all locations and mobile devices. The project was planned and executed in very close collaboration between Konia Minolta’s experts and Elajo’s IT professionals, ensuring a perfect fit for the entire organisation. The implementation opens up a wide range of applications for mobile and remote work as well as communication; it is of exceptionally high value for employees who are constantly on the road or at construction sites. Access to new applications gives employees greater flexibility in how they work and how they interact with their peers, while simplifying the whole maintenance and update process of the system. “Konica Minolta knows our business very well. Their solutions enable us to work remotely, for example, which significantly increases our overall efficiency. We can therefore focus on our core tasks and have to travel less, which means huge financial and environmental benefits for us,” says Olle Westerling.

Konica Minolta as trusted long-term partner for IT

The projects with Elajo are a prime example of Konica Minolta’s complete focus on customer needs. As more of a solution provider than supplier of products, Konica Minolta makes sure to fully understand the business and the existing circumstances within the customer environment. Furthermore, Konica Minolta’s approach of remaining a universal service partner even after the implementation phase of the tailor-made systems defines the close relationships it has with its customers as well as the insights into their business processes and what they need in order to deliver the best possible solutions for their customers.

Empowering collaborative work in the real estate business

Empowering collaborative work in the real estate business

Located in Saint-Herblain near Nantes, REALITES is a major and disruptive player in new real estate in the west of France and throughout other regions. The company comprises a diversified portfolio of businesses that have expanded through organic growth. With its rapid expansion and a fast-grow¬ing workforce, the limitations of its internal communications and informa¬tion management systems was increasingly proving a constraint to everyday operations. As part of a strategic project to create and empower a more agile, responsive organisation, REALITES implemented Workplace Go, a powerful collaboration solution from Konica Minolta. Built on the Microsoft Office 365 platform, the fully customisable solution allowed REALITES to meet their specific communication, collaboration and productivity needs.

Shaping an IT environment around collaboration needs

There comes a time when most businesses go beyond the configuration of the IT infrastructure that helped launch their early successes. It is in this situation that REALITES found itself as it grew through diversification. Its old information exchange system was becoming more and more an obstacle to collaboration and information sharing: its 350 users were confronted with the difficulties of access to information by the multiplicity of support and different versions: mails, old internalised intranet, visibility of versions.

One of the main challenges was its existing intranet. “It had become unattractive and was only used to access network links or real estate development files. This existing system no longer met the needs of cohesion and sharing,” explains Nathalie Gonnard, Director Organisation and IT. This has also been problematic as the business has grown. About ten new employees join the company each month in its various subsidiaries. New processes were needed to help support new members. This growth also meant that REALITES needed a scalable internal portal that could evolve with the company.

REALITES wanted a modern infrastructure solution that would facilitate access to information internally and link internal applications via a single unified platform. In addition, they needed a solution to facilitate and improve external communication via social networks. These numerous requirements made the project a strategic priority for the company and for the new IT Director of REALITES, David Léaurant.

A new era of collaboration with Workplace Go

After identifying the need, REALITES began to assess potential solutions. As an existing customer of printing solutions, REALITES had a long-standing relationship of trust with Konica Minolta. Therefore, they were one of the first candidates to be considered for a solution like this. After a short evaluation phase, the Workplace Go demo showed that it would be perfectly suited to the company. It won an internal benchmarking test against another renowned social platform.

This solution allows companies to build a modern intranet that is, where necessary, fully customisable. It offers the advantage of combining Microsoft Office365 solutions in a unified interface to meet REALITES’ communication, collaboration and productivity needs. Thanks to its responsive design, users can connect to Workplace Go on a desktop computer, tablet or smartphone. They have a single view of key information about the company, the team and the project, internal communications and various Microsoft applications. In addition to simplifying the efficient management of daily work, Workplace Go provides a powerful unified search function to facilitate access to information. It transparently replaced a legacy system based on the SharePoint 2010 intranet. For REALITES, this powerful combination of features was ideal.

Seizing the opportunity of building a system from scratch

The management of REALITES recognised that the project was a strategic priority: once the decision had been made, their objective was to carry out live deployment at the latest in early 2020. Despite this very tight schedule, Konica Minolta was able to meet the challenge: a customised Workplace Go solution was planned with Konica Minolta, the project being scheduled from June to November 2019.

One of the first implementations of Workplace Go, the Konica Minolta and REALITES teams started from a relatively blank page. The project was led by the company’s IT and communications departments. During the workshops, the Konica Minolta team met with specialists from the two departments as well as with the business teams. The objective was to ensure that the intranet design reflected the real needs of the users. It was based on custom models and perfectly suited the range of user needs within the company. From the start, they worked together to define the scope of the deployment, establish a project methodology and identify the best models and widgets to use for the intranet.

In terms of knowledge transfer and training, Konica Minolta organised a two-day administrator training session, then trained an internal trainer of the REALITES team to be able to provide additional training on Workplace Go. In future, this “train the trainers” session will allow the company to offer in-person sessions and create video tutorials.

The power of strong relationships

The key to the success and speed of implementation was that REALITES’ management was truly 100 percent behind the project, with Nathalie Gonnard as committed sponsor. The success of the deployment testifies to the power of relationships. Konica Minolta’s team has forged strong working relationships with their REALITES counterparts. In turn, the REALITES team was not only won over by the flexibility of the Workplace Go solution – they also appreciated the time invested by Konica Minolta. They appreciated that Konica Minolta was able to provide various solutions, including Workplace Go, as an integrator. With a Konica Minolta project manager always on site, the internal team was always able to access expert support.

From the signing of the contract to direct deployment, the project was delivered within six months. Workplace Go is now used on a daily basis by approximately 350 users and has received excellent feedback. “Our experience with Workplace Go is that it is a solution that really appeals to teams that are already using Office 365, is very easy to deploy and has a very quick return on investment for us,” concludes David Léaurant. This positive experience led REALITES to consider a second phase of the project, the implementation of new functionalities and services as well as an increase in the number of users.
