Pérez Llorca is a major and fast-growing Spanish law firm. Some 250 employees work in its Madrid HQ and further offices in Barcelona, London and New York. Pérez Llorca’s activities cover a wide range of practice areas, from Corporate Law to Data Protection; Mergers & Acquisitions as well as e-Commerce for corporate customers in different sectors: Banking and Finance, Infrastructure, Retail and Consumer; or Telecommunications and Media – to name just some.


The customer issue

Pérez Llorca was using a complex installation from a telecommunications company, including Konica Minolta hardware as well as an obsolete accounting solution, which was not connected to the law firm’s IT infrastructure. With numerous colour A4 devices and some b/w devices the old fleet was over-dimensioned and heterogeneous. This made the maintenance of the machines unnecessarily complex and costly. Assigning print and copy jobs to individual clients – a major issue in the legal world, where each and every document needs to be charged for – was time and cost intensive as well as error-prone and resulted in frequent complaints from clients. To streamline operations, optimise the accounting situation, and speed up all administrative tasks, it was essential for Pérez Llorca to renew and rationalise its MFP fleet and adopt a new IT solution!


The Konica Minolta solution

In order to harmonise the Pérez Llorca printer fleet and its operation, Konica Minolta proposed new hardware that would meet user demands exactly and optimally suit monthly volumes. The newly adopted solution eventually included 30 MFPs comprising 15 bizhub C454e, 13 bizhub 4050, and two bizhub 3320. Pérez Llorca also chose the SafeQ print accounting software and Document Navigator as their OCR scanning and archiving solution. 


Together with Rafael Madero, CIO of Pérez Llorca, Konica Minolta took charge of installing the entire hardware and software solution and integrating it into the corporate IT infrastructure. Konica Minolta also proposed a comprehensive maintenance concept for the MFP fleet including an automatic reporting system directly from the machines as well as the delivery of consumables and the waste management. 


Meanwhile, Konica Minolta and Mr. Madero are working on customising the print accounting with the target to charge each print, copy or scan job to the respective client directly from the MFP panel and not necessarily from the desktop. This will save the employees valuable time and reduce the hours charged to the clients. This issue is of particular importance with high print volumes and a large variety of documents. 


Thanks to the new functionality provided by Konica Minolta, users will be able to instantly start print jobs without having to assign them first to the client account. Later, after authentication at the MFP panel and before starting the print, copy or scan job, the user can assign the cost to the correct account.
